Who is responsible

Teams by Scale Systems is operated by Structured Scale LLC, 30 N Gould St Ste R, Sheridan, Wyoming 82801, United States. For privacy questions or rights requests, email support@scalesystems.io.

This notice covers visitors to the Teams by Scale Systems website and business enquiries. Employee profiles, posts and dashboard figures shown on the site are demonstrations. Data handling for a client engagement is addressed in the relevant service agreement and, where required, a data processing agreement.

What we collect and why

Business enquiries: your work email, company, role, team size, whether your industry is regulated, and anything you include in your message. We use these details to respond, understand your requirements and discuss a possible service engagement.
Technical information: our hosting infrastructure may process IP addresses, request times, browser information and requested pages to deliver the website, diagnose faults and protect it from abuse.
Cookie-notice preference: an expiry timestamp stored on your device remembers that you dismissed the notice. See our cookie notice.

How the form and calculator work

The enquiry form prepares an email in your browser. Completing it or selecting “Prepare enquiry” does not send your details to us. You decide whether to open and send the draft through your email provider. The draft is addressed to ethan@monkhouse.ai, the service delivery contact. The copy button writes the enquiry to your device clipboard only when selected.

Calculator inputs are processed in your browser. This site does not transmit or store those values on our servers. Do not include sensitive personal data, confidential client information or financial account details in an enquiry.

Providing enquiry details is voluntary. Without enough contact and business information, we may be unable to respond or assess your request. This website is intended for business enquiries.

Lawful bases

Where UK or EU data protection law applies, we rely on our legitimate interests in responding to relevant business enquiries and maintaining a secure, functioning website. Where you are personally considering a contract with us, we may also process information to take steps at your request before entering that contract. We process records where necessary to meet legal obligations. We do not use the enquiry form to obtain consent to unrelated marketing.

Cookies, analytics and external content

The current website does not load analytics, advertising pixels, embedded social-media widgets or third-party fonts. Images and fonts are served with the site. News headlines are fetched by our server; clicking a publisher link takes you to a separate website with its own privacy practices. If optional tracking is introduced, this notice and the relevant consent controls must be updated before it runs.

Who receives information

Access is limited to people handling enquiries and authorised service providers needed to host the site and deliver email. The deployed website is configured for Vercel hosting. Your chosen email provider processes the draft if you open or send it. We may disclose information where legally required or necessary to establish or defend legal claims. We do not sell enquiry data.

International processing

Structured Scale LLC is based in the United States. Enquiries and technical information may be processed there and in locations used by hosting and email providers. Where UK or EU transfer rules apply, appropriate safeguards are required, such as an applicable adequacy decision or approved contractual safeguards. Contact us for information about the safeguards relevant to your data.

How long we keep information

We retain enquiries for as long as needed to respond and manage the resulting business discussion. If you become a client, relevant records form part of the engagement file. Retention also takes account of legal recordkeeping obligations and the need to resolve disputes. Information no longer needed for those purposes should be deleted. The local cookie-notice preference expires after 180 days. Hosting logs are subject to the hosting service’s configured retention.

Your rights

Depending on applicable law, you may request access, correction, deletion, restriction or portability of your personal data and object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. We may need to verify your identity before responding. We do not use this website to make automated decisions with legal or similarly significant effects about you.

Contact support@scalesystems.io to exercise your rights. You may complain to the UK Information Commissioner’s Office or your local data protection authority. You do not have to contact us first.

We will update this notice when our website or processing changes. The date above identifies the latest revision.
